SharePoint Taxonomy column (Managed Metadata)

Term-store references, saved to the column (one term) or its hidden note column (several terms).

The Taxonomy column (Managed Metadata in the SP UI) stores references to terms in the SharePoint Term Store. Binds to

Taxonomy.

Write shape

Every Managed Metadata column has a hidden note column that SharePoint creates alongside it. The form saves a term in one write, as part of the normal save:

  • One term goes to the column itself, as the term's label and ID.
  • Several terms go only to the hidden note column, as a list of Label|ID pairs. SharePoint then fills in the visible column from it.

The form never writes TaxCatchAll. SharePoint keeps that hidden column up to date by itself whenever a term is saved.

When the form loads an existing item it reads the column together with its hidden note column, so the picker shows the saved terms with their labels. A term whose label can't be found is still kept (shown by its ID) rather than dropped, so saving the form doesn't wipe a term you didn't touch.

If you write via f365.sp directly, follow the same pattern: one term to the column, several terms to the hidden note column. Don't write TaxCatchAll yourself. The simplest route is to set the value on the form instead, with

f365.field('Department').value = 'Finance', and let the save do the rest.

Edge cases

  • Hidden TaxCatchAll: this column is automatically added by SP when the first Taxonomy column appears on a list. SharePoint maintains it; don't add, remove or write to it manually.
  • Typed but not picked: text typed into the picker that wasn't picked as a term blocks the save with a message, so it never disappears silently.
  • Term changes: renaming a term in the Term Store doesn't update stored values; existing items keep the old label.
  • "This term set has no terms you can pick": the picker found the column's term set, but nothing in it can be picked. Usually the column points at the wrong set, or every term is deprecated or hidden from tagging. Open the list's column settings to check which term set it uses. Sets in the Search Dictionaries group (such as Company Exclusions) are for search settings, not tagging, and are normally empty. After you change the column, reload the form: it picks up the new term set on load, with no need to republish.
  • "You don't have permission to read this field's terms": the person filling in the form can't read that part of the Term Store. A Term Store admin can grant access.
